Billing and Disbursement Support for Title Companies

The money side of a title file has its own queue. Detailed, repetitive, and with a deadline attached to every item.

The queue behind every closing

Invoices to raise. Disbursements to chase. Payoffs to confirm received. Statements to reconcile against what actually cleared.

It is exacting work, and it is exactly the kind of work that benefits from someone whose whole day is that queue.

This page covers one part of the work. For the full picture, see our title insurance virtual assistants.

Where the line is, and it does not move

Escrow and trust account handling, disbursement authorisation, final reconciliation sign-off, and any decision about releasing funds stay with your licensed staff.

Assistants prepare and chase. Your people decide and authorise.

Why we are explicit about this

Escrow handling is regulated and the boundary matters more here than anywhere else on this site. An assistant who supports your accounting team is useful. An assistant implied to be touching escrow funds would be neither accurate nor acceptable.

Where the time usually goes

Billing rarely fails at the invoice itself. It fails in the following up: the payoff that was sent but never confirmed received, the recording fee that was paid from the wrong ledger, the receivable that has been sitting sixty days because nobody owned the chase.

Handing that queue to someone whose whole day is that queue tends to surface money that was already yours and simply had not been collected.

It also makes month end quieter, because the reconciliation support has been prepared as you go rather than assembled in a rush.

Common questions

Do assistants have access to our bank or escrow accounts?
No. Assistants work in your production and accounting systems with scoped, read-and-prepare access. Escrow and trust accounts, and any authority to move money, stay with your licensed staff.
Can they prepare reconciliations?
They can prepare them for your review. Sign-off remains with the person licensed and accountable for it. That distinction is deliberate and we will not blur it.
What about underwriter remittance?
Assistants can assemble and track remittance reporting so it is ready and accurate on time. Submission and approval stay with your team.
