Virtual Assistants Who Already Understand Title
Safi Virtual staffs title agencies, settlement companies and escrow offices with trained assistants who work inside your production system. They arrive knowing what a commitment is, why a lien release holds a file, and what happens when a recording window is missed.
Talk to us about your file load
Working United States hours. Fluent American English. Dedicated to one client, never shared.
You are not short of software. You are short of hands.
Title work does not slow down because the team is not good enough. It slows down because experienced closers spend their day chasing payoffs, re-keying orders, calling for lien releases and updating agents who want to know where a file is.
That work has to happen. It does not have to be done by your most expensive people.

Work you can hand over on day one
Before closing
- Order intake and file setup
- Data entry into your system
- Payoff requests and follow up
- Lien release chasing
- HOA, municipal lien and tax certificates
Around closing
- Scheduling and confirmations
- Borrower and agent status updates
- Lender communication
- Document preparation support
- Settlement statement data entry
After closing
- Recording follow up and tracking
- Post-closing document chase
- Policy production support
- Invoicing and disbursement follow up
- Outstanding receivables
Curative decisions, underwriting calls, signing and notarisation, final review before disbursement, and anything requiring a licensed opinion. We staff the work around those, not the judgement itself.

A general assistant costs you three months before they are useful
Most virtual assistant agencies will place someone bright who has never seen a title commitment. You then spend a quarter teaching them the industry before they save you an hour.
We started the other way round. Safi was built staffing title operations, so industry knowledge is the starting point rather than the goal. The difference shows up in how much supervision the assistant needs in month one.
We already staff the daily file work for a multi-state national title agency. That is not a reference we arranged. It is where we learned the work.
Inside your systems, not alongside them
No new software. No data exported anywhere. Nothing leaves the environment you already control.
Which tasks are eating your team’s day, and which system you work in.
Not a generic job description. What your files actually need.
Dedicated to you, working your hours.
Same production system, scoped access you provision and can revoke.
How your client data is protected
Protecting non-public personal information is built into how we operate, not bolted on afterwards. Title agencies are audited on exactly this, so it is usually the first thing an owner asks about.
Background screening
Every virtual professional completes a criminal background screening before placement, comparable in scope to a United States FBI check.
Confidentiality
All staff sign NDAs and confidentiality agreements. We will also sign yours.
Facility and network
Work is performed in secure, access-controlled facilities with biometric entry. Every workstation runs current firewalls and anti-virus protection, and removable media is not permitted in work areas.
Your environment
Assistants work inside your own title production platform, so non-public personal information stays in your environment and under your controls.
Our controls are aligned to Pillar 3 of the ALTA Best Practices framework, which covers the protection of non-public personal information. If your underwriter or your own best practices assessment asks how an outsourced role is controlled, this is the answer.
Title first. Mortgage and real estate next.
Title is where our people are deepest, and it is where we start. The same assistants support the operations either side of the closing table: mortgage processing support and real estate transaction coordination.
If your business spans all three, one assistant can follow the file across them rather than handing it between teams.

Frequently asked questions
What a title agency says
“I don’t think I could live without Safi Virtual, having used them for almost ten years. We started small with order opening and data entry, then moved to preprocessing, payoff ordering and HOA requests. They work out of our title platform with ease, and the task-based completions mean anyone can open a file, go straight to the Notes and see exactly where a request stands. It makes life a lot easier, especially with cross coverage. I can breathe so much better now.”
