Virtual Administrative Assistants for Title and Settlement Operations
Administrative work is where a title file loses its days. We staff the part that follows rules, so your closers can do the part that needs judgement.

Where the day actually goes
Orders get keyed in twice. Documents sit unfiled. Payoff requests go out late because the person who should have sent them was closing something else.
None of it requires a licensed opinion. All of it decides whether a file closes on time.
This page covers one part of the work. For the full picture, see our title insurance virtual assistants.

The admin work inside a title file
Intake and setup
- Order intake and file setup
- Data entry into your system
- Document upload and organisation
- Party and contact records
Chasing
- Payoff requests and follow up
- Lien release chasing
- HOA and municipal lien ordering
- Tax certificate ordering
Through to close
- Document collection from lenders and agents
- Closing scheduling
- Recording follow up
- Post-closing document chase
Curative decisions, underwriting calls, signing and notarisation, and final review before disbursement. We staff the work around those, never the judgement itself.

Inside your system, not alongside it
Assistants work in the production system you already run. Access is provisioned by you, scoped to the files they need, and revocable at any time.
Nothing is exported to a separate platform and no new software is introduced, so client data never leaves the environment you already control.
Beyond title
The same assistants support mortgage processing and real estate transaction coordination, so a file can stay with one person across all three rather than being handed between teams.
Who this tends to suit
Agencies where the same two or three people are doing both the skilled work and the chasing. If your closers are also your file setters, this is the gap.
- Agencies running 80 files a month and up, where the admin load is steady rather than spiky
- Teams who have already bought good software and still feel behind
- Operations expanding into a new state, where volume arrives before the next hire is justified
- Anywhere a licensed closer is spending an hour a day on data entry
What it looks like in practice
A typical placement starts with intake. The assistant opens every new order, sets the file up to your template, enters the parties and the lender, and uploads what came in with the order. That alone usually returns an hour or more a day to whoever was doing it.
From there it extends by agreement rather than by assumption. Payoff requests next, then lien releases, then recording follow up. Each step is added once the previous one is running without supervision, so nothing is handed over before it is understood.
Most agencies find the second month looks very different from the first, because by then the assistant knows your templates, your underwriter’s quirks and which lenders need chasing twice.
