Title Insurance Virtual Assistants
Trained assistants for title agencies, settlement companies and escrow offices. They work inside your production system, on your hours, handling the file work that keeps closers from closing.

What a title insurance virtual assistant actually does
They handle the repeatable file work inside a title or settlement operation. Opening orders. Entering data into your production system. Chasing payoffs and lien releases. Ordering HOA and municipal lien certificates. Following up on recording. Keeping borrowers, agents and lenders updated on where a file stands.
They work inside the software you already use, so the file stays where your team expects it.
They do not issue policies, give legal advice or act as the settlement agent. They work under the direction of your licensed staff.

The work that delegates well
Not everything in a title file should leave your building. The split is simple: work that follows rules can be delegated, work that requires judgement cannot.
Before closing
- Order intake and file setup
- Data entry and document upload
- Payoff requests and follow up
- Lien release chasing
- HOA, municipal lien and tax certificates
Around closing
- Scheduling and confirmations
- Borrower and agent status updates
- Lender communication
- Document preparation support
- Settlement statement data entry
After closing
- Recording follow up and tracking
- Post-closing document chase
- Policy production support
- Invoicing and disbursement follow up
- Outstanding receivables
Three of these areas have pages of their own: administrative support, client communication and billing and disbursement.
Curative decisions, underwriting calls, signing and notarisation, final review before disbursement, and anything requiring a licensed opinion. We staff the work around those, not the judgement itself.

Working inside Qualia and your production system
Assistants work in whichever system you already run, including Qualia, SoftPro and Resware. Nothing is exported to a separate platform and no new software is introduced.
Access is provisioned by you, scoped to the files the assistant needs, and revocable by you at any time. Client data never leaves the environment you already control and already audit.
This matters more in title than in most industries. You are handling non-public personal information under state licensing and underwriter requirements.
How your client data is protected
Protecting non-public personal information is built into how we operate, not bolted on afterwards. Title agencies are audited on exactly this, so it is usually the first thing an owner asks about.
Background screening
Every virtual professional completes a criminal background screening before placement, comparable in scope to a United States FBI check.
Confidentiality
All staff sign NDAs and confidentiality agreements. We will also sign yours.
Facility and network
Work is performed in secure, access-controlled facilities with biometric entry. Every workstation runs current firewalls and anti-virus protection, and removable media is not permitted in work areas.
Your environment
Assistants work inside your own title production platform, so non-public personal information stays in your environment and under your controls.
Our controls are aligned to Pillar 3 of the ALTA Best Practices framework, which covers the protection of non-public personal information. If your underwriter or your own best practices assessment asks how an outsourced role is controlled, this is the answer.
Why industry knowledge changes the maths
Most virtual assistant agencies will place someone capable who has never seen a title commitment. That person is bright and willing, and they still cost you a quarter of supervision before they save you an hour.
The gap is not intelligence. It is vocabulary and consequence. Knowing what a commitment is. Knowing that a missing lien release stops a closing rather than delays a task. Knowing that a recording window has a deadline attached to it.
We started the other way round. Safi was built staffing title operations, so that knowledge is the starting point rather than the destination.
How a placement works
Title first. Mortgage and real estate next.
Title is where our people are deepest and where we start. The same assistants support the operations either side of the closing table: mortgage processing support and real estate transaction coordination.
If your business spans all three, one assistant can follow a file across them rather than handing it between teams and losing context at each boundary.

Frequently asked questions
What a title agency says
“I don’t think I could live without Safi Virtual, having used them for almost ten years. We started small with order opening and data entry, then moved to preprocessing, payoff ordering and HOA requests. They work out of our title platform with ease, and the task-based completions mean anyone can open a file, go straight to the Notes and see exactly where a request stands. It makes life a lot easier, especially with cross coverage. I can breathe so much better now.”
Go deeper on the work
Each of these covers one slice of a title file in detail, including what we take on and what stays with your licensed staff.

Borrower, agent and lender status updates, closing confirmations and inbound status handling, so your closers stop answering the same question.
